Use of SHOT Resources

Translation, reproduction and permitted use of SHOT materials

All SHOT resources are published as open-access materials and are made freely available to support learning, knowledge sharing, and system-wide improvements in transfusion practice and patient safety.

Any individual or organisation wishing to translate SHOT materials, including full reports, sections of reports, summaries, extracts, figures, tables, infographics, or Annual Report highlights, must obtain prior written permission from SHOT by emailing [email protected]. Requests will be considered on a case-by-case basis.

The party undertaking the translation bears full responsibility for ensuring that the translated content is a faithful and accurate representation of the original material. Translations should constitute a direct translation of the source text and should not include interpretation, adaptation, modification, or editorialisation that could alter the meaning, context, or intent of the original content. As SHOT is unable to review or verify translations in all languages, SHOT cannot validate, endorse, or accept responsibility for the accuracy of translated materials.

SHOT materials are provided to support education, quality improvement, and patient safety initiatives. They must not be used, reproduced, translated, distributed, or incorporated into products, services, training programmes, or other activities for commercial purposes or financial gain without the express written permission of SHOT.

When submitting a request for permission to translate or reproduce SHOT materials, applicants should provide:

• The purpose of the proposed use or translation.
• The intended audience.
• The specific resource(s) to be used.
• The gap, need, or patient safety objective that the proposed activity is intended to address.
• Confirmation of whether the proposed use involves any commercial purpose, financial gain, revenue generation, sponsorship, or other commercial benefit, either directly or indirectly.

SHOT reserves the right to approve, decline, or place conditions on any request for the translation, reproduction, or use of its materials.

Why is permission needed from SHOT to use the SHOT data, documents and resources?

SHOT needs to keep track of where the data is being used, to ensure it is appropriate and accurate.

There have been examples where people have altered and circulated SHOT figures, data and other resources, to the extent that they may be inaccurate while still carrying the SHOT logo.

There have been examples where people have used data published in the report to produce derivative analysis of specialist areas of transfusion, without access to the raw data and the expertise of the SHOT chapter-writers.

It is also very helpful to keep a register of where and how more formal educational activity is taking place.

Which data, documents and resources require permission for use?

If SHOT data, documents and resources, or charts and figures from those data, documents and resources, are being used in local training presentations then it is acceptable to use them without asking formal permission.

If SHOT material is being used for papers, in book chapters, or for wider circulation then formal permission must be obtained from the SHOT Medical Director.
